Who We Are

SmartAnswerPDF is a cloud-based PDF automation platform available to anyone, anywhere in the world. We help individuals, teams, and businesses of all kinds streamline repetitive document workflows — whether you're in healthcare, law, education, real estate, HR, or any other field that involves filling in forms and generating documents.

We are not limited to any industry or geography. If you have a PDF and want to automate how you fill it in, SmartAnswerPDF is built for you.

What Data We Collect

We collect only the minimum data needed to operate the platform:

Account information: Your name and email address when you create an account.
PDF templates: The blank PDF files you upload are stored so you can reuse them. These are stored as encrypted data in our database.
Template configurations: The box structures, fixed text chains, and variable input fields you build within each template.
Subscription status: Whether your account is on the Free or Pro plan, and a payment reference token from our payment processor.
Authentication logs: Basic sign-in activity managed by our infrastructure provider, Supabase.

        Important: We do not store completed, filled-out documents. When you generate a PDF, it is created entirely within your browser and downloaded directly to your device. No completed document ever leaves your computer or touches our servers.
      

How We Protect Your Data

Your data is stored using Supabase, a trusted cloud infrastructure provider. The following protections are actively in place:

AES-256 Encryption at Rest

All data in our database — including your PDF templates — is encrypted at rest using AES-256, the same standard used by banks worldwide.

TLS Encryption in Transit

All data between your browser and our servers uses TLS 1.2/1.3. Nothing is ever transmitted in plain text.

Row Level Security

Our database enforces strict isolation policies. Each user can only ever access their own data — never another user's templates or information.

Complete Data Isolation

Your templates are fully isolated. Even with knowledge of our public API key, no one can access another user's data.

        Honest disclosure: We implement industry-standard security practices. However, no system is 100% immune to all threats. We rely on Supabase's infrastructure for our core security. In the event of any security incident affecting your data, we will notify you promptly.
      

Your Documents and the Data Inside Them

This is the most important section to understand:

Blank PDF templates you upload are stored encrypted in our database, accessible only to your account.
Completed, filled-out documents are generated entirely within your browser. They are never sent to, stored on, or processed by our servers. They download directly to your device the moment they are generated.
Any sensitive information you type into document fields — names, addresses, financial figures, medical details, or anything else — exists only in your browser session. We do not receive, process, or store this information in any way.

        What this means in practice: The sensitive content of your documents stays entirely on your device. We only store your blank template structure — never the filled-in output.
      

Payments

Subscription payments are processed by PayFast, a PCI DSS Level 1 compliant payment processor. We never see, receive, or store your credit card or banking details at any point.

PayFast notifies us when a payment is successful. We store only a payment reference token — never any card information. For PayFast's privacy practices, refer to their policy at payfast.co.za.

Data Sharing and Third Parties

We do not sell, rent, trade, or share your personal data with any third parties for marketing or any other commercial purpose. Ever.

We use the following infrastructure providers solely to operate the platform:

Supabase — database, authentication, and encrypted data storage.
Netlify — website hosting and serverless backend functions.
PayFast — payment processing for Pro subscriptions.

Each provider acts as a data processor only, bound by their own security and privacy commitments. We share the minimum data necessary for each to perform their specific function.

Your Rights

Regardless of where you are in the world, you have the following rights over your data:

Access: View all your templates and account information within the platform at any time.
Deletion: You can delete your account at any time directly from within the platform. All your templates and personal data will be permanently removed immediately. Please note that if you are on a Pro subscription, account deletion does not entitle you to a refund for any unused portion of your billing period.
Correction: Request correction of any inaccurate account information by contacting us.
Portability: Download your generated PDFs directly from your browser at any time.
Objection: Contact us at any time if you have concerns about how your data is being handled.

Data Retention

We retain your account data and templates for as long as your account remains active. If you request account deletion, all your personal data and templates will be permanently removed within 30 days.

Basic subscription payment records may be retained for accounting and legal compliance purposes for up to 7 years, as is standard practice.

SmartAnswerPDF uses only essential cookies and browser storage required to keep you logged in and maintain your session. We do not use tracking cookies, advertising cookies, or any third-party analytics cookies.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify registered users by email.

Continued use of SmartAnswerPDF after changes are posted constitutes your acceptance of the revised policy.
